Privacy Policy

1. What we collect
Contact details (parent and student names, email, phone); the academic and activity information you share in our intake and sessions (grades, scores, activities, essays and drafts); session recordings/transcripts and the AI-generated summaries made from them; and booking and payment records. Card details are handled by Stripe and never stored by us.
2. Students and minors
Most of our students are under 18. We collect student information only in the course of an engagement a parent or guardian has arranged and consented to, and parents can see everything we hold — it lives in your family's shared folder.
3. Where it lives and who can see it
Each family gets a private Google Drive folder shared with exactly your family and your advisor. There is no shared client space; families cannot see each other's materials. Zen's owner account administers the storage for oversight and backup.
4. Recording and AI summaries
Sessions are recorded and/or transcribed, and an AI tool drafts a summary that your advisor reviews before it's filed to your folder and emailed to you. Recordings and transcripts are used only to produce your notes and improve your engagement — never for advertising, and never shared outside your engagement.
5. Services we rely on
We use Google Workspace (email, storage, docs), Calendly (scheduling), Stripe (payments), and Zoom or Google Meet (video calls, recording/summaries). Each processes only what it needs to provide its function, under its own privacy policy.
6. What we never do
We do not sell or rent your information, share student materials with other clients, use your data for advertising, or publish anything about your family without written permission. Testimonials and case studies are published only with your explicit consent, anonymized.
7. Retention and deletion
We keep engagement materials while you're a client and for up to 24 months after, so returning families (younger siblings, transfer questions) can pick up where they left off. Email hello@zencollegeconsulting.com anytime to have your materials deleted sooner, or to request a copy of what we hold.
